The Executive Assistant supports the General Manager (GM) by managing schedules, communications, strategic administrative tasks, and cross-functional coordination.
This role requires confidentiality, proactivity, and the ability to operate in a fast-paced environment.
Key Responsibilities
Manage the GM’s calendar, appointments, travel arrangements, and meeting logistics.
Act as the main point of contact between the GM and internal/external stakeholders.
Prepare presentations, reports, meeting documents, and executive correspondence.
Support the GM in prioritizing daily activities, deadlines, and strategic initiatives.
Coordinate leadership team meetings, agendas, minutes, and follow-up actions.
Collect information for company statistics, compile information, maintain and update databases and docs.
Handle confidential information with the highest level of discretion.
Assist with project coordination and cross-team communication.
Collaborate with Office Manager and People Team in organizing team events, offsites, workshops, All Hands, ecc..
Manage expense reports and administrative processes related to the GM’s activities.
Represent the GM professionally and ensure efficient communication flow across the organization.
Skills & Qualifications
Excellent organizational and time-management skills.
Strong verbal and written communication both italian and english
High level of discretion and confidentiality, professionalism, and emotional intelligence.
Ability to anticipate needs and proactively resolve issues.
Experience supporting senior leadership or executives preferred.
Proficiency with productivity tools (Google Workspace - Microsoft tools)
Be a team player - collaborate and work closely with the Leadership Team and all employees
